RCI's Document Conversion Process

Pick up "A Familiar Face"

The same RCI driver will be arriving to pick up your confidential documents weekly and/or monthly and that provides a sense of comfort and stability. Our uniform drivers are very courteous. At every pick up, a signed slip is given to our customers that lists the date, number of boxes and type of documents that were picked up.

Document Preparation “It Starts Here with Experience”

The Document preparation process is very labor intensive. It provides the scanner operators paper clean of staples, binder clips, or any other fasteners that could hinder the scanning process. During preparation, all documents are taken out of their folders/acco fasteners. All staples and clips are removed, folded corners are straightened and post it notes that cover information are re-positioned.

Document Scanning “Papers and Scanners are Diverse and Ever-changing”

Since 1971, RCI has seen every type, condition and size of paper. Colored paper with same color ink, faded carbon copies, thermal fax paper to my favorite, onion skin. From our years of experience, some scanner models scan certain types of paper better than others. That’s why RCI has an array of production scanners, and we use the scanner model best suited for the type of job to be scanned.

Indexing / Data Entry / OCR “An Image File is Only Good if it can be Retrieved”

Working with our customers to determine the index criteria needed to easily retrieve the image files once scanned is as important, if not more, than the scanning itself. Determining prior to scanning where the data is to be extracted from the image either by OCR (Optical Character Recognition) or by manually entering in the data is key to a successful document conversion project. Many future headaches can be avoided by taking the time to do upfront document analysis’s.

Output / Import Files “Existing Imaging System?, Not a Problem"

All files can be converted into a TIFF, PDF or JPEG image file format. The index data (metadata) associated with the image files can be structured for existing systems. Several examples: ASCII with Images, LaserFiche, Hyland OnBase, ImageSilo/PaperVision, OTG Record Out, SharePoint, Sire, and XMP PDF
